Information we collect

Through the enquiry forms on this website we collect:

first name and last name
email address
phone number
preferred contact method
programme interest
intended application date
number of applicants
anything you write in the free-text message field

The short exit-intent form collects an email address only.

Each submission is also given a random reference identifier, and a shortened one-way hash of the email address is held briefly in memory to limit repeated automated submissions.

Our website code does not collect or store your IP address, device fingerprint, geolocation, passport or identity documents, or financial information. Documents required for an actual application are handled separately by email or another agreed channel, not through this website.

How we collect information

We collect information when you complete an enquiry form on this website. We also receive information if you contact us directly by email, phone or WhatsApp, or if you book a call through the Calendly booking tool embedded on the site.

Cookies and similar technologies are used for analytics and advertising measurement only where you allow them. See the cookie section below.

We do not use enquiry records for unrelated marketing campaigns, and submitting an enquiry does not subscribe you to anything. Sending an enquiry does not create a client relationship.

Enquiry records

When you submit a form, the information is saved to our enquiry database and a notification email is sent to authorised Vanuatu Advance staff so they can reply to you.

Cookies and similar technologies

Cookies used for analytics and advertising are switched off by default until you choose. When you first visit, a banner lets you accept all cookies or reject non-essential cookies. Your choice is stored in your browser and applied on later visits.

You can change your choice at any time using , which is also linked in the site footer.

Google Analytics and Google Ads

We use Google Analytics 4 and Google Ads to understand how the site is used and how our advertising performs. These are loaded through the Google tag with Google Consent Mode v2. Until you accept, advertising storage, analytics storage, ad user data and ad personalisation are all set to denied.

We do not send Google any name, email address or phone number from our enquiry forms.

Calendly

Call bookings are handled by Calendly through an embedded booking tool. Calendly collects the information requested in its own booking form, which includes your name and email address, and processes it under its own terms and privacy policy.

If you choose to message us on WhatsApp, you leave this website and use the WhatsApp service. Our website code does not capture WhatsApp conversation content. Messages you send us there are held in our WhatsApp account and are also processed by WhatsApp and Meta.

Service providers

We use the following providers to run this website and handle enquiries:

Lovable Cloud / Supabase — hosting of the enquiry database
Cloudflare Workers — website hosting and delivery
Hostinger Mail API — sending enquiry notification emails to our staff
Google (Analytics 4, Ads, Google tag) — measurement and advertising, subject to your cookie choice
Calendly — call bookings
WhatsApp / Meta — if you choose to contact us that way

These providers process ordinary technical request information, such as network and request data, as part of delivering their service.

Storage and security

Enquiry records are stored in a hosted Postgres database. Access is restricted through server-side controls and database access rules, and enquiry notifications go only to authorised Vanuatu Advance staff. No system can be guaranteed against every risk, and we do not claim otherwise.

Retention

Our policy is to retain enquiry records for 24 months from the date of the enquiry, unless we still need them for a longer period for an active matter, or to meet a legal or record-keeping obligation.

Deletion at the end of that period is currently carried out manually. Automatic deletion is not yet implemented in the system.

International processing

We operate from Vanuatu and Australia, and the providers listed above operate data centres and services in other countries. This means your information may be stored or processed outside the country you are in.

Your choices and privacy requests

You can ask what personal information we hold about you.
You can ask us to correct information that is wrong.
You can ask us to delete your enquiry record.
You can change your cookie choice at any time through Cookie settings.

Email info@vanuatuadvance.com and we will respond. We may need to keep some information where there is a legal or business reason to do so, and we will tell you if that applies.

Children

This website is intended for adults. We do not knowingly collect information from children through this site. Where an application includes dependent children, their details are provided by the adult applicant during the application process, not through this website.

Changes to this policy

We update this page when the way we handle information changes. The date at the top shows when it was last updated.
